- [2024-01-10] Board meeting held. The Park Master Plan, distributed last August, was
adopted. Funding for Phase 1 and related bid were approved. Phase 1 includes restoring the turf and
irrigation system for a 10,000 square foot area. The 2024 budget was adopted with
dues increased to $70. The Board approved doing the next full Reserve Study which
Arnon will be coordinating. As Reid has moved and his Board seat is vacant,
Dayna was appointed to serve as a board member until the next election. Dayna's husband has
volunteered to repair and restore the Evergreen Estates entrance sign on the corner of
Merlin and Old San Jose Road. The sign had fallen down in a past storm. There is an errata
sheet available now with corrections and additions to Annual Disclosure distributed in November. Finally,
Ed and Grant are swapping officer positions with Ed now serving as President and Grant serving
as Director-at-Large.

- [2022-08-15] The new board held an organizational meeting. Grant is the President,
Reid is the Vice-President, Arnon is the Treasurer, Dana is the Secretary and Ed is
the At-Large Director.
- [2022-08-09] The election ballot-counting meeting was held. A quorum was achieved.
The three candidates Arnon, Dana and Reid were elected and will join Grant and Ed
as the new board. A big thank you to the outgoing board members Connie, Michelle and
Rich. And another big thank you to the election inspectors Dave, Gwen and Nick for
running another election.
- [2022-07-12] Last board meeting for this set of board members. The budget was reviewed.
Water usage is over budget due to April irrigation leak.
No delinquent dues as all owners are paid up or in advance as of May 31st. The next meeting in
August is the election ballot-counting meeting. 21 of 42 ballots have been returned so far
of which 2 were not signed. Unsigned ballots will not be opened or counted. The Election
Inspectors will attempt to contact owners that need to sign their ballots. Any savings
from the recent Cornwell breezeway tree project were earmarked for a replacement tree. Ed
volunteered to organize an owner volunteer work day to prune low branches in the Terra
breezeway and remove the two small dying trees in the Merlin breezeway. Jolyn was
invited to share some of her park layout design
brainstorming ideas. It was decided to establish
a committee of owner volunteers to create a Park Master Plan that will garner the support of a
majority of owners. Contact Jolyn if interested.
- [2022-06-14] Very short board meeting. Two board members were unable to
attend. After the roll call, Connie, Ed and Rich decided to postpone the rest of
the agenda to the next meeting in July.
- [2022-06-01] Our management company Shoreline Property Management, now a
division of The Manor Association Inc. has started the transition of owners to a
new web portal. Their old portal was based on the Pilera software platform. The new
portal is based on the Vantaca software platform. Watch for email and/or letters
from Shoreline/Manor.
- [2022-05-10] Board meeting was held.
Gopher control has been extended to the Adar-Cornwell breezeway.
Overall YTD spending is slightly under budget.
An updated RV Lot Policy was adopted requiring current DMV registration.
One camper in the RV Lot remains unclaimed and is
at risk of being towed. A bid was selected and approved to remove the three trees
(closest to Adar) in the
Adar-Cornwell breezeway and to grind the stumps and surface roots. The election cycle
continues with the next step being the finalization of the Voter List. A draft Solar
Panel Installation Policy was adopted to help owners get solar panels installed.
A visual of an idea for possible future park improvements
submitted by an owner was reviewed.
- [2022-04-12] Board meeting was held. Rich reviewed the 2021 tax return and the
latest final financial reports. Connie reported the park
fencing and sign improvements have been completed, more of the
unclaimed items in the RV Lot have been claimed, and additional repairs are needed
to fix leaks in the park irrigation system. Rich reported the candidate list for
the August election is finalized with three candidates, Arnon, Dana and Reid.
Ed presented several photos of the breezeways pointing out roots and unhealthy trees
that need to be addressed.
- [2022-03-08] Board meeting was held. Connie is organizing a work day on Sunday
March 13th to install the split-rail fencing at three park entrances.
Michelle has continued to obtain bids for asphalt maintenance in the RV Lot.
The two boat trailers in the RV Lot have been claimed. However, we still have two
campers and a jet ski that have not been claimed. The RV Lot policy will be amended
at the next meeting to clarify the RV Lot is only for vehicles owned by owners
and residents. The $1,162 bid from Emerald City Landscaping to make repairs to the irrigation system
including conversion of 15 rotator sprinklers to MP rotators was approved. No owners have
yet submitted nomination forms to be candidates in the upcoming election. We
have three seats on the board that will open up in August.
- [2022-02-08] Both the monthly board meeting and the annual member meeting were held.
At both meetings there was an update on the new landscaping service; a review of
association financials; status on RV Lot asphalt maintenance bids; and photos
shared of five unregistered and unclaimed vehicles in the RV Lot in danger of being towed.
At the board meeting suppliers were approved for the Park Signs and Fencing project;
Election Inspectors were selected for the 2022 Board election; the Notice of Nominating
Procedure form was reviewed for owners who would like to be on the ballot for the election;
and news that the Little Library had been successfully moved to the front of the RV Lot.
At the annual member meeting there was a presentation on the Park Sign and Fencing project
and an update on the election schedule, election rules and inspectors.
- [2022-01-11] Board meeting was held. New park signs and replicating the split-rail
fencing at the Cornwell entrance at the other entrances were
discussed to better communicate that the park is private property and not open for
public use. Funding the fencing would require making some cuts to other budget
line items to maintain a balanced budget. The 2022 election schedule was presented.
The annual member meeting will be on February 8th this year.
- [2021-12-14] Board meeting was held. The drain on Old San Jose Road has been cleared.
Spending remains under or on target for all line items. The transition to the new
landscaping service is complete. The park survey envelopes were opened and tallied
(#1 count=11, #2 count=8, #2 and #3 both count=1, #3 count=1).
The survey comments were read out loud.
- [2021-11-09] Board meeting was held. A 2022 budget was approved increasing
dues from $59 to $64. The increase reflects
increased costs, especially landscaping and a new reserve contribution line item
for future maintenance projects. Our current landscaper, TLC, increased their monthly
rate almost 23% from $875 to $1075. In response Connie solicited bids from five
landscapers. The Emerald City bid was $1000 per month. Making the switch from TLC
to Emerald City starting December 1st was approved. An anonymous park survey was
approved to measure owner support for making and funding park improvements. The Little
Library on Merlin will be moved to the RV Lot.
- [2021-10-12] First regular board meeting of the new board was held. The
RV Lot landscaping cleanup work has been completed. The
June-August financial reports, final reserve study and a first draft
of the 2022 budget were reviewed. An updated document distribution policy was
approved. Discussions were held on owner sidewalk maintenance responsibilities
and dog poop in the park. The park survey was tabled. During the Open
Forum there was an update on County plans to address the recent street paving issues.
- [2021-08-17] Officers chosen at organizational board meeting: Connie
(president), Ed (vice president), Michele (secretary), Rich (treasurer) and Grant
(at-large director). Board meetings scheduled for the second Tuesday of each month at
6:30 pm. September meeting cancelled.
- [2021-08-10] The Election/Ballot-Counting meeting was held for two open seats on
the board. The election results were that both candidates, Ed and Grant, were elected
to fill those positions. The following owners: Connie, Ed, Grant, Michelle, and Rich
are now serving on the board. An organizational meeting will be held next week by
the "new" board to select officers and establish a schedule for board meetings.
- [2021-07-13] Board meeting held. Financials were reviewed. Spending is within
budget.
A second draft of the reserve study was reviewed and adopted. This draft
only included existing common area components and did not include CC&R updates
or major park re-landscaping projects.
Election ballots have been distributed to all owners. Please vote!
The drainage easement letter was approved for distribution. Connie reported the
vegetation next to the RV Lot has been pruned and cleaned up.
Park watering has started again. Discussion on future park improvement concepts
started. A survey will be developed to gauge owner support.
- [2021-06-08] Board meeting held. Financials were reviewed. Spending is within
budget. The Statement of CID Association has been filed with the California Secretary
of State.
The supplement to the collection policy was adopted that helps explain
how late fees, interest and other collection fees are applied when an assessment
is not paid on time.
The draft reserve study was reviewed. When future projects such as park
irrigation upgrades, park re-relandscaping, and updating the CC&Rs are included
we would have to INCREASE THE DUES by at least $22 per month per owner by 2023 to
maintain adequate reserves.
Regarding the election the Voter List is now final. The election inspectors are
now in charge of mailing out ballots, receiving them, and counting them at the
election ballot-counting meeting on August 10, 2021. Future projects and how to fund
them will be discussed at the July meeting. Everyone is encouraged to attend.
- [2021-05-11] Board meeting held. There are several unclaimed, unregistered vehicles
in the RV Lot. These vehicles are now in danger of being towed. The padlock on the RV
Lot has been replaced. Contact Connie or Michelle for access. Monthly financials were
reviewed. The Collection Policy was updated to make it
more clear. A draft supplement was reviewed that clarifies the timetable for
delinquent payments. Voter list validation continues for the August Board election.
Please make sure the Association has your correct mailing address to receive a ballot
in July. The reserve study has commenced which will enable the Association to have
a separate fund for major long-term projects. Discussions
started on a letter to owners with drainage easements to remind them of their responsibilities
to maintain them and remove anything that would restrict or block the flow of water.
- [2021-04-13] Board meeting held. Finances, tax return and late dues summary were
reviewed. The bid from RSS (Reserve Study Specialists) was
selected to conduct a reserve study. Discussions held on curb painting; park
improvements; removal of unclaimed items in the RV Lot; and trimming the tree in
the Terra breezeway. The candidate list for the next board election was finalized.
- [2021-03-09] Board meeting held. The 2021 election cycle has begun for two seats
on the board. The Election Rules published in January were adopted. The election
inspectors from the last election volunteered again and were selected to run the 2021
election. The Notice of Nominating Procedure will be distributed to all owners which
includes the candidate nomination form. Owners can nominate themselves. The deadline
for candidate nominations is April 12th. An updated RV Lot policy and flier was
adopted. Connie will contacting owners to complete an inventory of the current RV Lot
contents. A decision was made to change gopher control companies to improve service
and reduce costs.
- [2021-02-16] Shoreline just sent a notification that they are in the process of
being acquired by The Manor Association, Inc. located in San Mateo! Stay tuned.
- [2021-02-13] A broken limb was discovered on the large Cypress tree in the park.
Grant has marked off the area underneath with yellow tape and getting an estimate for
having the limb removed.
- [2021-02-09] The annual meeting was held. Presentations were given on completed
park projects, financials, Shoreline transition, accessing association records,
sidewalks, and the RV lot. A donated Redwood tree was approved to be planted in
the park.
- [2021-02-04] A special board meeting was held last night. The incident in the park
was discussed and some recommendations were identified. Multiple owners attended and
provided inputs and comments.
- [2021-01-31] As a result of the recent incident in the park a Special Board meeting
has been scheduled for Feb 4, 2021. The Annual Meeting is still on for Feb 9, 2021.
- [2021-01-12] Some highlights from the board meeting last night: The transition to
Shoreline (the Limited Management Service contract) is now complete; All remaining
funds in the old bank account have been transferred to the new bank account;
The year-end budget financial results for 2020 were reviewed;
The schedule for the next board election was approved;
The public review period was approved to begin for an updated version of
the Election Rules;
- [2020-12-08] Some highlights from the board meeting last night: an updated dues
collection policy ($5 fee + 12% annual interest on late dues) was adopted for 2021;
Connie volunteered to manage the RV Lot and work with Michelle to draft an updated
RV Lot policy; Shoreline will be sending out the billing for January later this month;
27 of 42 owners have paid the Q4 dues which are due on December 15th; the Annual Owner
Meeting was scheduled for Feb 9, 2021.
- [2020-11-10] At the board meeting the draft 2021 budget was approved. This includes
increasing the dues from $52 to $59 per month per owner. The increased dues will cover a full
12 months of outsourced management by Shoreline, CPA costs for filing taxes, the fidelity bond,
non-electronic billing costs, Pilera (an official owner website), and an annual disclosure mailing.
The increase also funds the first reserve study that will result in creating a
separate reserve fund for future major repairs, restorations, and replacement expenses.
- [2020-10-23] Ken mailed out the Q4 assessment bills. Payments should be sent to
Shoreline by December 15th.
- [2020-10-13] Board meeting was held tonight via Zoom. The start of the transition to
Shoreline Property Management was approved.
- [2020-09-09] Board meeting was held last night via Zoom. The proposal to distribute
meeting notices and minutes only by electronic means was approved starting with
the October 2020 meeting.

meeting.
- [2020-02-13] Meeting notice for next meeting on Feb 25, 2020 was emailed out

- [2020-02-02] Discovered we are a POA (Property Owners Association) rather

- [2020-01-15] Volunteers (Connie, Grant, Ken, Cheryl & Roy and Rich) are
preparing proposals (budget, board election rules, park tree work,
HOA management services) for a meeting in late February. A detailed meeting
notice will be sent at least ten days prior to any meeting. Stay tuned.
- [2020-01-01] As of December 2019 Yahoo Groups stopped hosting user created
content on its sites. As a result all our association content was
removed. Yahoo Groups still provides support for group emails (see below).
